1. Who this policy covers
RoveFox ("RoveFox", "we", "us" or "our") operates a local discovery and business visibility service for sports, fitness and related active-life businesses. This policy applies to visitors, consumers who submit enquiries, people contacting support, business claimants, authorised business users and paying business members.
RoveFox is not intended for children to submit personal information independently. If an activity is for a child, a parent or guardian should submit the enquiry and provide only the information reasonably needed for the selected business to respond.
2. Information we collect
- Discovery information: searches, selected location/activity, filters, profile views and high-intent actions such as call, WhatsApp or trial clicks when analytics consent has been granted where required.
- Trial/enquiry information: name, phone number, optional participant age, preferred timing and any note you choose to provide.
- Contact Us/support information: name, email address, optional phone number, selected topic and the free-text message you submit, including any personal information you choose to include in it.
- Business-claim information: claimant name, role, work email, optional phone number, claim evidence/verification notes, consent timestamp and claim status.
- Business account and profile information: account identifiers, authorised business relationship, profile edits, public business contact details, programs, facilities, offers, photos and related operational information.
- Billing records: membership plan, amount, provider transaction or subscription identifiers and payment status. Payment credentials are processed by the payment provider; RoveFox does not store raw card or bank credentials.
- Security and consent records: technical request data needed to protect the service and hashed consent/security signals where implemented. RoveFox is designed not to retain raw IP addresses as analytics identifiers.
3. How we use information
- Provide search, profiles, claims, enquiries, business dashboards and memberships.
- Share a submitted enquiry with the specific business selected by the consumer.
- Review and respond to Contact Us/support requests, investigate reported problems, handle profile corrections and resolve account or billing questions. A support request does not sign you up for marketing.
- Verify that a person claiming a profile is authorised to represent that business.
- Send transactional messages such as claim, enquiry, account and payment updates.
- Send marketing or local-discovery WhatsApp messages only where the recipient has given the required opt-in; opting out does not remove essential service messages permitted by applicable law.
- Measure product usage, improve discovery quality and identify unmet local demand.
- Detect abuse, protect accounts, investigate incidents and meet legal obligations.
4. Analytics and cookies
RoveFox uses a preference cookie named rovefox_analytics_consent to remember whether optional product analytics were allowed or declined. Optional analytics events are accepted only after consent is granted. We design public analytics events to reject phone numbers, email addresses, free-form messages and claim evidence.
We may use analytics service providers as the product evolves, but optional analytics remain subject to the consent controls shown on RoveFox. Necessary security, session and authentication technologies may operate independently where required to provide the service.
5. When information is shared
We do not sell personal information. Information may be shared with:
- the selected business when a consumer expressly submits an enquiry for that business;
- service providers that support hosting, database/authentication, email delivery, analytics, payment processing and opted-in WhatsApp communication;
- professional advisers, regulators, law-enforcement bodies or other parties where required by law or reasonably necessary to protect rights, safety and service integrity;
- a successor or acquirer in a genuine business reorganisation, subject to applicable confidentiality and data-protection requirements.
6. Retention
Contact Us/support requests are scheduled for a retention review 90 days after submission. This review covers database records and support mailbox copies. We delete or anonymise information no longer needed; longer retention is only for documented operational, dispute, fraud-prevention or legal needs, with a recorded reason and next review date. A retention review is not automatic deletion. Backup copies expire under the applicable provider backup schedule and remain restricted; documented legal holds may delay deletion.
Trial enquiries are currently scheduled for a 180-day retention review from submission. They may be removed, anonymised or retained longer where a legitimate operational, dispute, fraud-prevention or legal requirement applies. Claim, account, audit and billing records may be retained for longer where needed to operate the service, establish authority, resolve disputes or comply with law.
Public business information remains available while a listing is published, subject to correction, archival and source-quality rules.
7. Your choices and rights
Subject to applicable law, you may ask RoveFox to access, correct or erase eligible personal information, withdraw consent where processing depends on consent, or raise a privacy grievance. We may need reasonable information to verify the request before acting on it.
Business listing corrections can also be requested through our data correction process. Withdrawing an optional marketing or analytics consent does not necessarily require deletion of records that must be retained for security, transactions, claims or legal obligations.
8. Security
RoveFox uses access controls, role-based permissions, audit records, server-side payment confirmation and other technical safeguards designed for the sensitivity of the service. No internet service can guarantee absolute security, so please do not submit passwords, payment credentials or unnecessary sensitive documents through free-text fields.
9. Third-party destinations
RoveFox profiles may link to a business website, phone number, WhatsApp destination or other third-party service. Those destinations operate under their own terms and privacy practices. RoveFox is not responsible for a third party's independent handling of data after you choose to leave RoveFox or contact that third party directly.
10. Changes to this policy
We may update this policy as RoveFox adds features, providers or legal requirements. The effective date on this page identifies the current version. Material changes will be communicated in a reasonable manner where required.
